The role of the production executive is to ensure that the administrative activity of running the production function is efficient and processes are embedded into the company effectively.

Your

Responsibilities

You'll be responsible for:

  • Managing the scheduling process, end to end
  • Agreeing work/job allocation with production heads
  • Owning Production meetings
  • Running capacity planning meetings
  • Ensuring the integrity of information within internal systems
  • Up-keep of Risk & Issue log
  • Managing project set up within internal systems
  • Maintaining internal documentation

Key Competencies

Scheduling

  • Planning projects into the studio using resource management tool & assessing resourcing requirements to assign work effectively
  • Managing studio capacity - ensuring it is kept at a steady level.
  • Monitoring the progress of scheduled work and raising any issues to the relevant member of client services
  • Proactively take responsibility for resolving scheduling conflicts
  • Negotiating timescales on projects with client servicing, based on availability
  • Manage and motivate production teams to deliver scheduled work daily
  • Ensure all holidays are booked into the schedule and discuss with the client servicing team how this impacts their timelines
  • Discuss daily schedules with team leaders to ensure everyone is working on the correct tasks and report any issues to the relevant person

Production Activities

  • Monitoring production processes to enhance production quality
  • Attend production meetings and can discuss issues / clashes in the schedule, forward plan upcoming projects
  • Responsible for the ballparking WIP, booking in sessions with the ballparking team
  • Ensure the sign off process is being followed, and be the central repository for client sign offs via DocuSign
  • Long term capacity planning

Key Competencies

Reporting

  • Creation and distribution of production management information reports detailing the level of work passing through the studio, top projects, burn rates etc
  • Up-keep of risk and issue log and schedule information logs to be completed for weekly production meetings
  • Regular reporting on studio time entry to enable financial reporting
  • Participating in post project reviews and documenting learnings to share with the wider business

Key Competencies

General

  • Keep abreast of project management techniques to be able to understand how projects are being managed and support the client delivery team where required
  • Liaise with the Production Manager on any critical issues
  • Supporting the client servicing team with the set-up of projects
  • Maintaining internal systems to ensure all information is correctly structured and up to date
  • Work with the delivery team to ensure internal project documentation is being completed and stored centrally
